When you cancel an event or an individual draw on TopSeed, the platform automatically resolves all active registrations and financial settlements. Uncaptured payment card authorization holds are released immediately, and completed charges are refunded in full.

Cancel versus delete: which should you use?

TopSeed provides two distinct tools depending on your event's status:

  • Delete an event: Available for events that have not gone live (no posted draws or active matches), provided no refund or withdrawal operations are currently in flight. Even if players have already registered, deleting is supported: TopSeed provides an impact preview showing affected players and financial settlements, removes the event record upon confirmation, and triggers automatic card hold releases and entrant refunds.
  • Cancel an event or draw: If your event has posted draws or matches in progress, you cancel rather than delete. Canceling preserves tournament history, notifies affected participants, and triggers automated financial settlements.

How to cancel an event or draw

You can initiate cancellation directly from the event management screens or by asking Ask AI:

  1. Navigate to your tournament page and click Manage › Overview.
  2. Select Cancel Event to cancel the entire tournament, or navigate to Manage › Draws and select Cancel Draw for an unposted division. (Note: individual draw cancellation is available only before bracket generation begins or after failure; it is blocked while generation is in progress, as well as once a draw reaches Draw Posted or In Progress, in which case you must cancel the entire event or handle match walkovers).
  3. Review the cancellation impact preview screen. The preview calculates the number of affected players, uncompleted draws, and the planned financial actions (releasing holds versus issuing refunds).
  4. Confirm your cancellation. TopSeed marks the target event or draw as cancelled and begins processing refunds immediately.

What happens to registrations and money

When an event or draw is cancelled, TopSeed executes automated settlement rules across all participants:

  • Automatic refunds and hold releases: Every participant registered in an uncompleted draw receives a full financial settlement. If payment was held as a temporary authorization hold, TopSeed releases the hold. If payment was already captured, TopSeed issues a full refund (including the platform fee) back to the player's original payment method.
  • Completed draws are preserved: If individual divisions within a multi-draw tournament have already concluded, their match scores, winner records, and bracket results stand unchanged. Participants in completed draws are not refunded.
  • Protection against double refunds: If any player withdrawal or refund saga is currently in flight, TopSeed temporarily blocks the cancellation request until that pending operation settles. This safety net guarantees that transactions never duplicate.

Frequently asked questions

What happens to draws that have already finished?
Completed draws retain all final scores and tournament standings. Participants in completed draws are not refunded.
Can I cancel an event while a refund is processing?
No. If a player withdrawal or refund operation is currently in flight, cancellation is blocked until the transaction completes to prevent duplicate payouts.
What is the difference between deleting and canceling an event?
Deleting is available for pre-live events (even with registered entrants, provided no withdrawal or refund operations are currently in flight: an impact preview dialog confirms hold releases and refunds). Once draws are posted or matches have started, deleting is blocked and you must cancel the event instead.
Do players get their platform fee back when an event is cancelled?
Yes. When a host cancels an event or an uncompleted draw, registered players receive a full refund, including the platform fee.
