Tournament hosts can withdraw a player from any draw when a participant requests removal or cannot compete. TopSeed processes host-initiated withdrawals using the same deadline-based refund policy that governs player self-withdrawals.
How to withdraw a player
You can remove a participant from the registration management console or by asking Ask AI:
- Open your event page and navigate to Manage › Registrations.
- Find the participant in the registrations table.
- Click the row action menu and select Withdraw Player (or click the primary Withdraw Player button at the top of the section).
- In the dialog, verify the player and target draw. Review the impact preview, which confirms whether the withdrawal affects a doubles partner.
- Enter an Optional reason if you wish to provide context in the automated withdrawal notification sent to the player.
- Click Withdraw player to confirm the action, or click Keep player to cancel.
What gets refunded
TopSeed resolves refund entitlement strictly by timing:
- Before the registration deadline: If you withdraw the player before the event's registration deadline (or before the event start date if no deadline was set), the player is entitled to a full refund. TopSeed releases any active payment card authorization hold or refunds captured payments in full, including the platform fee.
- After the registration deadline: Once the registration deadline passes, entry fees are committed so you can finalize seeding and brackets. Withdrawing a player after the deadline removes them from the roster but does not issue a refund.
- Draws in progress: If matches have already started, removing a player is treated as a tournament retirement. Match results update with walkovers where appropriate, and no refund is issued.
Doubles partner cascade
In doubles divisions, an entry represents a two-player team:
- Withdrawing either partner automatically withdraws the entire doubles pair.
- TopSeed frees the team spot on the draw roster.
- If the withdrawal occurs before the registration deadline, both partners receive their full refund under standard refund rules. After the deadline, neither partner receives a refund.
